CAR RENTAL AGREEMENT

Ernest Rentals Standards


  1. Payment is due at the commencement of the rental period. Accepted forms of payment include cash, credit card, or debit card. The renter agrees to pay any applicable taxes and fees.
  2. The renter must have a valid driver's license or permit.
  3. Ernest Rentals provides basic insurance coverage for the vehicle.
  4.  Only authorized individuals are to drive the vehicle.
  5. The renter agrees to return the vehicle with the same position on the fuel gauge as received, or more. Failure to do so will result in a refueling charge.
  6. The renter is responsible for any damage to the vehicle during the rental period. The renter is also liable for any accidents involving the vehicle.
  7.  A security deposit is required at the commencement of the rental period. The security deposit will be refunded upon return of the vehicle, provided there are no damage or outstanding charges.
  8. Additional Terms and Conditions:
    1. The renter must be at least 25 years old to rent the vehicle.
    2. The renter must have at least 2 years driving experience.
    3. Smoking is prohibited in the vehicle.
    4. The vehicle may only be used for lawful purposes.

Late Return Fee Policy


 The rental period concludes at the time specified in the rental agreement. If the vehicle is returned after the designated return time, the renter will incur a late return fee of $20 per hour.

Terms & Conditions:

  1. Late Return Definition: A late return is defined as the vehicle being returned after the agreed-upon return time as noted in the rental agreement.
  2. Fee Calculation: A $20 per hour late return fee will apply for each full or partial hour beyond the agreed return time. The fee will be calculated based on the actual time of return, rounded to the nearest hour.
  3. Maximum Late Fees: If the vehicle is returned more than 24 hours past the agreed-upon return time, additional charges may apply, and the rental company reserves the right to take further action, including charging for an additional full day of rental, depending on availability and local policies.
  4. Return Location Availability: If the vehicle is not returned during regular operating hours or at an alternate agreed-upon time, a late return fee will still apply. The renter is responsible for confirming return details in advance if the vehicle is being returned outside of normal business hours.
  5. Special Circumstances: In case of emergencies or unforeseen events that may cause a delay, the renter should immediately contact the rental office to discuss possible arrangements. The rental company may, at its discretion, waive or adjust late fees in certain situations.
  6. Agreement: By signing the rental agreement, the renter acknowledges and agrees to the late return fee policy, including the $20 per hour charge for returns made after the designated time.

Fuel Policy: Return as You Received


The vehicle will be provided with a specified amount of fuel at the time of pickup. It is the responsibility of the renter to return the vehicle with the same fuel level as recorded at the time of vehicle issuance. Failure to return the vehicle with the same amount of fuel will result in a fuel replenishment charge based on the current fuel rates plus an administrative fee.

Terms & Conditions:

  1. Fuel Level at Pickup: The fuel level of the vehicle will be noted at the time of pickup, and the renter will be provided with a fuel receipt as a reference.
  2. Return Fuel Level: The vehicle must be returned with the same fuel level as at pickup. If the fuel level is lower than the recorded level at return, the renter will be charged for the difference in fuel, at the local market rate, plus an administrative fee.
  3. Fuel Charges: If the vehicle is returned with insufficient fuel, the renter will be billed for the cost of refueling. The charge will include the cost of the missing fuel, and an additional administrative fee for refueling services.
  4. No Refund for Excess Fuel: If the vehicle is returned with more fuel than at pickup, no refund will be provided for the additional fuel.
  5. Additional Charges: If fuel replenishment is required, the rental company may apply a per-gallon/liter charge that may exceed local gas station prices. The renter is advised to refuel the vehicle before returning it to avoid such charges.
  6. Exceptions: Any special arrangements regarding the fuel level must be agreed upon in writing at the time of rental.

By signing the rental agreement, the renter acknowledges and agrees to abide by this fuel policy.
